Information We Collect

We collect information you provide directly, information created by your use of the app, and limited technical information needed to run and protect the service.

• Account information: display name, email address, sign-in provider identifiers, account role, and authentication state.
• Training profile: goals, units, training experience, equipment profile, training days, session duration, rest preferences, movement limitations, pain notes, exercises to avoid, accessibility preferences, and onboarding progress.
• Workout data: routines, exercises, workout sessions, set logs, weights, reps, timestamps, RPE/RIR values, notes, bodyweight logs, goals, progress entries, analytics derived from those records, and training history you choose to import from a Strong or Hevy export file.
• Health Connect data (Android, optional): body weight, steps, sleep, resting heart rate, heart rate variability, and outside workouts recorded by other apps or devices. This is collected only if you connect Health Connect and enable the matching data type. See the Health Connect section below.
• Coach and AI interactions: coach questions, selected coach actions, generated coach responses, AI feedback, model usage metadata, and token usage counts.
• Support and admin data: help messages, support threads, feedback votes, and account or subscription actions handled by administrators.
• Subscription data: plan, status, store product identifiers, transaction identifiers, subscription dates, validation timestamps, and app store notification status. We do not collect or store payment card or bank account details.
• Technical data: device authentication tokens, cookies for web sign-in, security logs, diagnostic logs, IP address and user-agent data that may appear in server logs, and deployment/version metadata.

Audio, Microphone, and Speech Recognition

SmartGains uses microphone access only when you choose to use voice input during a live coach interaction. Voice input is optional.

• The app asks for microphone permission before listening.
• The current voice input flow listens once, converts your speech into text, and places the transcript in the coach composer so you can review or edit it before sending.
• SmartGains does not store raw audio recordings as part of the voice input feature.
• Speech recognition may be handled by your device operating system or speech recognition provider, such as Android speech recognition or future Apple speech recognition support. Their processing may be governed by their own privacy terms.
• If you send the transcript, SmartGains treats it like a typed coach message. The transcript and relevant workout context may be sent to SmartGains servers and AI service providers to generate a coaching response.
• You can disable microphone access in your device settings at any time.

Health Connect and Health Data

On Android, SmartGains can connect to Health Connect so your training context stays current. The connection is optional, each data type has its own toggle on the Connected Health screen, and you can revoke access at any time in Android Health Connect settings.

• What we read, with your permission: body weight, steps, sleep, resting heart rate, heart rate variability, and outside workouts recorded by other apps or devices.
• What we write, with your permission: completed SmartGains workouts and body weight logs you record in the app.
• How we use it: to show body weight trends, recovery and activity context, and to include outside workouts in your training history. Your logged workouts and profile remain the source of truth for training recommendations.
• What we store: imported records are saved to your SmartGains account, including the measured value, the time range it covers, and which app or device it came from. We keep them so trends stay stable between syncs and so the same record is not imported twice.
• AI processing: your body weight trend may be included in the training context sent to AI providers to generate coaching explanations. Steps, sleep, resting heart rate, and heart rate variability are not sent to AI providers.
• Advertising: we do not use health data for advertising, do not sell it, and do not share it with third parties for advertising, marketing, or ad-related analytics.
• Retention and deletion: imported health records are kept with your training records and are deleted when your account is deleted. Disconnecting Health Connect stops future syncing; on its own it does not remove records already imported.
• Revoking access: revoking a permission in Health Connect stops SmartGains from reading or writing that data type. Data SmartGains has written to Health Connect is managed by Health Connect and can be removed there.

How We Use Information

• Provide workout planning, exercise logging, session guidance, analytics, recommendations, support, and account management.
• Generate AI-assisted coaching explanations and training feedback from your workout context and questions.
• Validate subscriptions, manage subscriber access, process app store notifications, and prevent entitlement abuse.
• Maintain security, authenticate users, debug issues, prevent misuse, and improve reliability.
• Honor your settings, including AI training insights and anonymous analytics preferences where available.

How We Share Information

We do not sell your personal information and do not use your information for third-party targeted advertising. We do not use health data, including data read from Health Connect, for advertising or ad-related analytics, and we do not sell it or share it with third parties for those purposes.

• Service providers: hosting, database, authentication, diagnostics, AI processing, and other vendors that help operate SmartGains.
• Speech recognition providers: when you use voice input, audio may be processed by your device operating system or speech recognition provider to create a transcript.
• AI providers: coach questions, transcripts you send, workout context, and generated responses may be processed by AI providers to return coaching explanations. Workout context can include your body weight trend, which may come from Health Connect if you enabled that import. Steps, sleep, resting heart rate, and heart rate variability are not sent to AI providers.
• App stores and identity providers: Apple, Google, and other providers may process sign-in, subscription, and app store data under their own terms.
• Legal and safety: information may be disclosed if required by law, to protect users, to enforce terms, or to protect SmartGains and its services.

Your Choices

• You can choose whether to provide optional training notes, pain notes, accessibility preferences, bodyweight logs, and coach questions.
• You can use typed coach input instead of voice input.
• You can revoke microphone permission in device settings.
• You can connect or disconnect Health Connect at any time, control each health data type with its own toggle on the Connected Health screen, and revoke access in Android Health Connect settings.
• You can manage AI training insight and anonymous analytics preferences in supported account settings.
• You can request access, correction, export, or deletion of your account information by contacting us.

Retention and Deletion

We keep account, workout, imported health, subscription, support, and coaching records for as long as needed to provide the service, maintain account history, comply with legal obligations, resolve disputes, and protect the service. If you request deletion, we will delete or de-identify account data unless we need to retain limited records for security, legal, subscription, or operational reasons.

Security

We use reasonable technical and organizational safeguards designed to protect information, including authenticated access, encrypted transport, limited administrative access, and operational monitoring. No method of transmission or storage is completely secure.

Children

SmartGains is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can review and remove it where appropriate.

International Use

SmartGains is operated from the United States. If you use the service from another country, your information may be processed in the United States or other locations where our service providers operate.

Changes to This Policy

We may update this policy as SmartGains changes. When we make material changes, we will update the date above and provide additional notice when required.
